Secure sharing use cases

Secure dataroom sharing for Salesforce documents

CloudFiles bundles files and folders from any connected storage behind one secure, trackable link, no email attachments, no separate app. Set an expiration date, see who opened it, and collect a missing document back through the same link.

Loved and trusted
The gap in ad hoc file sharing

Salesforce was never built to package files for an outside reader

A deal needs three documents from three different folders sent to one buyer. A support case needs a signed form back. Neither has a single link in Salesforce by default.

Without CloudFiles

  • Files live in different systems, so someone stitches together separate email attachments or separate SharePoint links by hand
  • A shared file carries no record of who opened it, when, or whether they ever came back
  • Collecting a document back means asking for an email attachment, with no fixed destination and no reminder if it never arrives

With CloudFiles

  • Files and folders from any connected storage bundle behind one dataroom link, generated by a Create Dataroom flow action or from the CloudFiles widget
  • Every dataroom link tracks views, downloads and time spent per viewer, so it's clear whether the recipient ever opened it
  • A file request lives inside the same dataroom, so a missing document comes back through the identical link the recipient already has
How it's built

What a CloudFiles dataroom actually is

One link, many platforms

Bundle files and folders from SharePoint, Google Drive, OneDrive, Dropbox, Box or AWS S3 into the same dataroom.

Built from a flow, or the widget

Create Dataroom, Add to Dataroom and Create Link are Salesforce flow actions, so a dataroom can be triggered automatically, not just built by hand.

Its own security settings

Every link carries its own password, expiration date, and view or download limits, set before it goes out.

Its own analytics

Views, downloads and time spent per viewer are tracked automatically once a link is opened.

Where teams use it

How teams already run secure sharing through Salesforce documents

Real scenarios CloudFiles' Dataroom feature is built to run, sourced from the Salesforce help center.

Bundling deal documents for one buyer

Combine a proposal, a contract draft and supporting files from different folders into one link instead of three separate email attachments.

Collecting a signed form back

Add a file request to the same dataroom link, so a customer can upload the document you're waiting on into the exact folder you configured.

Seeing who actually opened a share

Track total views, unique viewers, downloads and time spent per viewer once a dataroom link is opened.

Locking a link down before sending it

Add a password, an email-validation step or a domain restriction to a dataroom link before it goes out.

Setting a link to expire on its own

Expire a link automatically after a set number of views or a set number of days, so access never outlives the deal it was meant for.

Automating the whole share from a flow

Trigger Create Dataroom, Add to Dataroom and Create Link from a Salesforce flow, so a new Lead or Case gets a shareable link with no manual click.

One set of defaults, every new link inherits them

An admin sets status, download permission, expiry, notification frequency, and whether a viewer must enter their email, once, before every future sharing link is created. Any single link can still override a default afterward, and existing links are never changed retroactively.

Stay compliant and secure.

Secure dataroom sharing, answered directly

Yes. A dataroom can include content from multiple connected storage locations, even across different cloud platforms, behind the one shareable link.

Yes. Link Defaults can expire a link after a set number of views or a set number of days since creation, whichever happens first, and any individual link can override the default.

Yes. Dataroom analytics track total views, unique viewers, downloads and time spent per viewer, accessible from the dataroom's own actions menu.

Yes. A file request added to the dataroom defines a destination folder, and an uploaded file is routed there automatically.

Yes. Security Control lets you restrict access with a password, email-based validation or a domain-level restriction before a link goes out.

Yes. Create Dataroom, Add to Dataroom and Create Link are all Salesforce flow actions, so a new record can generate and populate a shareable dataroom link on its own.

No. A dataroom link is built for an external reader with neither.
