Packaging document automation

CloudFiles for packaging and containers

Account managers and prepress teams chase artwork, proofs and specifications across inboxes, and one wrong version means a reprint. CloudFiles files, shares and gets them signed in Salesforce, so every run starts from the approved file.

From a dozen proof emails to one signed approval

Customer accounts, opportunities and orders live in Salesforce, yet artwork, proofs and specifications travel by email and sit on prepress shares. CloudFiles organizes, shares, processes and produces those files on the order itself.

The manual way

  • Account managers search order emails, prepress shares and old opportunities for each item's dielines, artwork and proofs. When a reorder comes in, nobody is sure which file the customer approved, and the press runs on the wrong version.
  • Prepress coordinators email each round of PDF proofs to the customer's buyer and brand marketing team, then wait for a reply. Nobody can tell who opened which round, and markups come back as forwarded attachments days later.
  • Estimators retype each customer's packaging specification, from dimensions and board grade to print colors and quantities, into the opportunity by hand. Quotes wait in the queue while every specification is keyed and checked twice.
  • Brand owners send each new item as a bundle of files, sometimes one combined PDF holding the specification, dieline and artwork brief. Coordinators split, rename and file it all by hand, and a missing dieline surfaces a week later.
  • Customer service reps paste each final proof into a Word sign-off form, email it for signature and file the reply by hand. Production waits on a signature nobody can find, and some runs start on nothing more than a verbal approval.

The CloudFiles way

  • CloudFiles gives every packaging project one folder for its dielines, artwork and proofs, opened from the opportunity in Salesforce. Final artwork stays there, tagged with its item code, so a reorder starts from the file the customer approved.
  • CloudFiles sends every proof round from the opportunity in Salesforce and tells the team who opened it and when. Each proof travels as a secure link only the customer's email domain can open, with downloads off. Markups return through an upload request.
  • CloudFiles maps each customer's packaging specification onto a specification record under the opportunity before an estimator opens it. Dimensions, material, print colors, finish and quantities fill it, so quoting starts from the customer's own figures.
  • CloudFiles sorts every new item request before a coordinator opens it. A combined PDF is split into its documents, and each specification, dieline and artwork brief is recognized and filed in the project. The opportunity shows what is still to come.
  • CloudFiles turns every final proof into an approval form the customer signs before the press is booked. The order's details and a picture of the proof fill the template, and the signed form returns to the order's folder for production.
Packaging Salesforce use cases

Every artwork file, approved from brief to press

Salesforce Flow runs every job below on the accounts, opportunities, orders and sales agreements packaging teams already use, with CloudFiles carrying the files.

Packaging project folder automation

CloudFiles gives each packaging project its own folder in Salesforce just after the opportunity is created, within its customer's account folder, with dielines, artwork, proofs and specifications kept apart.

  • The create folder flow action runs from a record-triggered flow when an opportunity is created
  • Sub-folders for dielines, artwork, proofs and specifications come from one template, so every project looks the same
  • Final artwork stays in the project folder with its item code as a column, so a reorder starts from the approved file

Print proof sharing and view tracking

CloudFiles shares print proofs with customers from the opportunity in Salesforce through secure links only their own email domain can open, and shows the team which buyer viewed each round and when.

  • The create link flow action makes each proof link, and the update link settings flow action keeps it to the buyer's domain
  • A flow emails the opportunity owner the first time a buyer opens a proof, and each later view is logged
  • Markups and revised art come back through an upload request that files them in the opportunity's proofs folder

Packaging specification processing

CloudFiles processes customer packaging specifications in Salesforce. Each PDF fills a specification record under the opportunity, from dimensions and material to colors and quantities, so estimators quote at once.

  • A specification PDF attached to the opportunity triggers the flow that starts the mapping run
  • Dimensions, material, colors and quantities fill a specification record through the document mapper flow action
  • Estimators check the filled specification against the customer's file before the quote is built

New item request sorting

CloudFiles sorts the files brand owners send with each new item request in Salesforce. A combined PDF is broken apart, and the specification, dieline and artwork brief are each recognized, named and filed.

  • Each upload through the create file request flow action starts a run, while CAD and Illustrator files go to an incoming folder
  • The split document using AI flow action breaks a combined PDF into specification, dieline and artwork brief
  • Each piece is renamed and filed, and the opportunity shows which of the specification, dieline and brief are still to come

Run-rate agreement generation and e-signature

CloudFiles generates run-rate agreements in Salesforce from each Manufacturing Cloud sales agreement, laying out every item's price and planned quantity in one table, ready for the customer's e-signature.

  • The generate document flow action fills the agreement's Word template when the sales agreement is approved
  • Each item's price and planned quantity per period fill the pricing table straight from the sales agreement
  • Once every party has signed, the agreement is filed with the sales agreement, ready for the next pricing review

Artwork approval form generation and e-signature

CloudFiles generates an artwork approval form for each order in Salesforce, with a picture of the final proof and the print details, and routes it to the customer for e-signature before the run.

  • The generate document flow action fills the approval form once the proof is marked final on the order
  • A picture of the final proof, saved as an image on the order, sits beside its item code, colors and quantities
  • Signed approval forms return to the order's folder, so production releases the run against a signature

Frequently asked questions

CloudFiles builds a folder for each packaging project in Salesforce just after its opportunity is created, within the customer's account folder and split into dielines, artwork, proofs and specifications. Account managers find every project file on the opportunity page. Admins configure this once, with a record-triggered flow around the create folder flow action.

Yes. CloudFiles connects every opportunity, order and account in Salesforce to the packaging team's own storage, whether SharePoint, Google Drive, Azure Blob, Amazon S3 or another provider. The prepress team keeps working in the libraries it already uses, and account managers open the same artwork from the opportunity, order or account record.

CloudFiles keeps each project's final artwork in its folder in your storage, with the item code set as a column when the prepress team uploads it from Salesforce. For a reorder, a flow finds the file by that item code through the search by resource metadata flow action, even under an older opportunity, so the run starts from the approved file.

CloudFiles sends each print proof from the opportunity in Salesforce as a secure link and records every opening against the viewer. A link can ask for a password, stop working after a set number of views and block named addresses. The account manager knows the buyer has looked before chasing for an answer.

Yes. CloudFiles sends the customer an upload request from the order or opportunity in Salesforce, listing the dielines, artwork and brand files the project needs, with no Salesforce login. Each file lands in the project's artwork folder as it arrives, so the prepress team starts from the customer's own files instead of an email chain.

Yes, with CloudFiles. Each packaging specification attached to an opportunity in Salesforce becomes a specification record under it, with dimensions, material, print colors, finish and quantities filled from the PDF. A customer asking for several items sends several specifications, and each gets its own record for the estimator to check.

Yes. CloudFiles takes a new item request from the brand owner's upload to a sorted project folder in Salesforce. A combined PDF is split into its documents. CloudFiles recognizes which is the specification, the dieline and the artwork brief, and each lands in the matching sub-folder with a clear name, so prepress and estimating teams start the same day.

CloudFiles produces an artwork approval form for each order in Salesforce, with a picture of the final proof, the item code, colors and quantities, and sends it to the customer for signature in a single envelope. The signed form lands in the order's folder before the run is scheduled. Admins keep a different form for each brand owner, and the flow picks the right one.

Yes. CloudFiles generates a run-rate agreement for each repeat customer from that customer's sales agreement in Salesforce, with every item's price and planned quantity laid out in a table. At renewal, CloudFiles produces a fresh agreement from the updated schedule, and each signed one is kept beside the earlier ones in the same folder.

Yes. CloudFiles works on standard opportunities, orders and products, on sales agreements in Manufacturing Cloud, and on any custom project or artwork object a packaging team has built. Admins add the managed package through AppExchange, then put its document steps into flows already running on those records.
